Role Purpose

Support MFLF employees—mainly in the Bangkok Office, but not limited to it— and act as the proactive people & culture team members by running training administration end-to-end, supporting organization development and performance management, driving employee engagement activities, and looking after health insurance. Keep processes simple, records accurate, and communication clear so employees have a consistent, positive experience.

Key Responsibilities

1) Training & OD (Administration and Coordination)

  • Keep training policies and forms up to date (request, approval, attendance, evaluation, expense claim).
  • Build the annual training plan and calendar; review and update each quarter.
  • Prepare approvals and expense claims; check that documents are complete and correct.
  • Arrange logistics: trainers/suppliers, room or online setup, materials, attendance, certificates.
  • Collect simple training feedback/results and suggest improvements.
  • Maintain tidy training files and system records; ready for checks and audits.

2) Engagement & Internal Communication

  • Run the engagement calendar (recognition, town halls, wellness, CSR/community) and track outcomes.
  • Write and post clear employee messages (program details, FAQs, short policy notes) and keep channels up to date.
  • Gather quick feedback/pulse and follow up actions with managers until closed.

3) Health Insurance (Bangkok-focused, not limited)

  • Handle enrolment and removal, coverage changes, and basic eligibility questions for MFLF staff (coordinate with site focal points outside Bangkok).
  • Help employees with claims and follow up with the broker/insurer; prepare simple usage summaries and support the annual renewal.
  • Keep guides, FAQs, and service timelines visible and current.

4) HR Operations & Compliance (related to the above)

  • Update HRIS/LMS data for training, certificates, and benefits; produce short monthly reports or dashboards.
  • Keep records accurate; follow labour law and data privacy rules (PDPA).
  • Issue simple employee letters (e.g., training attendance, insurance eligibility) when needed.

5) Organization Development Support

  • Assist with team basics: role clarity, simple ways of working, and meeting habits; keep OD templates (team charter, RACI) up to date.
  • Support change activities: prepare stakeholder lists, short communication notes, readiness checks, and track action items.
  • Help coordinate OD workshops and follow-up actions; file outputs and share summaries with managers.

6) Performance Management Support

  • Coordinate the annual performance cycle timeline (goal setting, mid-year, year-end) and send clear reminders.
  • Provide easy-to-use tips/templates (goal-writing, feedback prompts, IDP form) and guide managers on basic usage.
  • Track completion and quality checks (e.g., goals set, reviews completed, IDPs in place) and prepare simple summaries for leaders.
  • Keep performance records tidy in the system; issue confirmation letters if needed (e.g., training linked to IDP).

Success Measures (KPIs)

  • Training plan delivered ≥ 90%; approvals and expense claims on time ≥ 95%.
  • Document accuracy ≥ 98%; archives complete 100%.
  • Engagement participation meets target; agreed actions ≥ 90% closed on time.
  • Health insurance SLAs met (e.g., enrol/terminate within agreed SLA; acknowledge claim support within agreed SLA; renewal data on schedule).
  • Performance cycle on-time completion ≥ 95% (goals, mid-year, year-end); IDP coverage ≥ 90%.
  • OD action items closed as planned; zero major audit findings; HR data accuracy ≥ 99%.

Qualifications & Experience

  • Bachelor’s degree in HR, Business, or related field.
  • Officer: 1–3 years in training admin/OD support, engagement, benefits, or internal communications.
  • Senior Officer: 3–5 years with proven ownership of training/engagement activities.
  • Strong coordination and follow-up; comfortable with forms, approvals, and vendors.
  • Proficient in Excel/Google Sheets and basic HRIS/LMS; able to make simple dashboards.
  • Clear written and spoken Thai; working English.
  • Organized, detail-minded, deadline-reliable; able to travel and support occasional events outside standard hours.
